Job Description:

Under the general supervision of the Director-Clinical Operations (Rehabilitation Services) and team leadership uses exceptional customer service practices to provide administrative support to the various elements of the rehabilitation department including direct patient communication. Facilitates the efficient and effective use of resources surrounding the daily operations of the department. Coordinates the rehabilitation scheduling process and manages day to day activities related to patient scheduling.

Duties and Responsibilities

Essential Accountabilities:

  • Provides administrative/secretarial support including but not limited to maintaining office files answering telephones routing calls and taking messages.
  • Assists with compiling and analyzing data for special reports to assess operational and financial performance.
  • Solicits ideas for process improvement opportunities and works closely with clinical team leaders supervisors and director. Assists in utilizing improvement tools to enhance all aspects of operations.
  • Completes department forms letters memorandums and meeting minutes.
  • Utilizes Outlook calendar to schedule supervisor’s appointments.
  • Schedules coordinates and/or arranges meetings appointments and/or facilities. Attends meetings and records minutes.
  • Enters and/or retrieves data from established computer files using knowledge of various computer software applications.
  • Compiles data for and prepares regularly scheduled reports.
  • Receives referrals from VNA staff and arranges for services by scheduling appropriate professional staff under the direction of the Director supervisor and/or team leaders.
  • Disseminates and monitors work to staff establishes priorities and assists in resolving problems related to day to day operations of patient care.
  • Assists with preparation of field staff weekly schedules and updates as required.
  • Performs necessary conflict checks consistently intercepts potential scheduling conflicts and works independently to resolve them.
  • Assists field staff in complying with supervisory visits and functional assessments.
  • Facilitates scheduling of patients to maximize efficiency.
  • Provides warm greeting when answering the phones as well as superior customer service when interacting by phone and in person.

Qualifications

  • Minimum Experience:
    • 2 – 3 years
  • Minimum Education:
    • High School or G.E.D.
  • Skills:
    • Aptitude for learning new computer programs; Able to: accurately operate computer systems including Windows office; coordinate complex projects and work on several projects concurrently; efficiently manage time and remain positive attitude while working under pressure; seek and follow directions; work cooperatively with a variety of people
