Remote Work:

This position is eligible for remote work within Calgary under our mobile workforce program.

The Accounts Payable Vendor Master Coordinator is responsible for maintaining the vendor master database to support operational efficiency. This includes the addition and ongoing administration of new supplier or customer records. A high level of due diligence is essential for the review of supplier requests and accompanying documentation to ensure the request is compliant with internal audit requirements. This role may be assigned to complete special project as required by the accounts payable department. The incumbent is a service provider to the WestJet Group as a whole; and in this capacity is a both a business partner and key contributor to the success of WestJet’s procure to pay operation.

Responsibilities:

  • Manage all aspects of vendor and customer set-up/changes in the accounting ERP and other systems within service level standards
  • Conduct due diligence on records for new and existing vendors to ensure vendor compliance
  • Act as a conduit between internal business units and/or suppliers to update records
  • Support AP & Procurement teams on vendor data issues impacting purchasing and invoice payment research and resolve where required
  • Complete assigned vendor statement of account reconciliations
  • Facilitate supplier Credit Application process
  • Prepare reports on vendor data for audits and regular and updates for managers
  • Work with leadership to cleanse vendor profiles and ensure existing vendor master data has all required documentation.
  • Maintain process documentation for all aspects of vendor onboarding and associated forms
  • Contribute to the continuous improvement of the vendor maintenance process by identifying opportunities to streamline processes and maximize efficiencies
  • Ability to consistently meet deadlines escalate issues of concern to management
  • Perform miscellaneous tasks as assigned by supervisor
  • Additional responsibilities to be determined as needed

Qualifications:

  • Ideal candidate will have 3-5 years Accounts Payable
  • Must have direct responsibility for vendor setup and related updates
  • Bachelor’s degree in accounting or related field
  • High proficiency in Microsoft Office advanced excel skills required
  • Demonstrated ability to prioritize multiple tasks and interact effectively across multiple departments
  • Detail orientated solid problem-solving skills
  • Strong oral and written communication skills including customer service skills
