Location: Wildwood Service Center St. Petersburg Florida – Pinellas County

Starting Salary: $1104.00 Bi-weekly. (In accordance with current spending restriction an internal promotion into the position will be filled at the minimum of the pay grade or up to 5% of the employee’s current rate whichever is higher.)

DESCRIPTION:

This position serves as the Purchasing Liaison for the entire Circuit 6 for goods and services. Responsible for the review and approval of circuit expenditures through State Automated Management Accounting System (SAMAS ) / MyFloridaMarketPlace (MFMP) computer system. Prepares reports for Circuit Chief Probation Officer of circuit expenditures. Maintains circuit purchasing card compliance and timely payment of invoices. This position must comply with the requirements set forth in Section 215.422 Florida Statues Prompt Payment Compliance Law in preparing invoices for payment. Coordinates and facilitates Circuit purchasing for Circuit 6 probation units. Performs statistical reporting to the Circuit Chief Probation Officer.

DUTIES AND RESPONSIBILITIES:

Process & distribute a variety of correspondence and drafts responses as needed.

Track and monitor safety related matters throughout the circuit and conduct safety meetings.

Conduct fire drills and monitor the status of safety equipment throughout the circuit.

Must lift up to 30lbs.

Assists the Chief Probation Officer in arranging repairs maintenance and oversight of the state-owned property at the Wildwood Service Center. Adheres to purchasing and prompt payment of goods and services connected to the physical plant of the facility.

Prepares reports as requested by the Chief Probation Officer.

Assist in conducting daily administrative activities/duties and/or directing special projects or activities. Process mail copies route and file documents as instructed.

Maintains Circuit training files including utilizing SkillPro and updating spreadsheets.

Perform back up personnel functions for Circuit 6. Including back up reviews and provides applications to the hiring authority. Receives reviews and follows up as needed in receiving proposed selection packets and provides a complete selection packet to the Chief Probation Officer-SES for review and approval. Maintain Policy and Procedure Manual typing and report preparation including personnel rosters vacancy report O.P.S. overtime reports staff meeting and Circuit Coordinator minutes.

Provide support to Circuit Management Team. Provides training to secretarial staff in the Circuit procedure for purchasing. Responsible for the travel arrangements and travel vouchers of the Circuit administrative staff. Tracks instructions given by Chief Probation Officer performs special assignments research and report preparation.

Tracks the Preventive Maintenance for the State Vehicles as well as maintains the records and coordinates the scheduling of usage.

Performs other related duties as required.

MINIMUM QUALIFICATIONS FOR THIS POSITION INCLUDE THE FOLLOWING REQUIRED ENTRY LEVEL KNOWLEDGE SKILLS AND ABILITIES:

A high school diploma.

Knowledge of office procedure and practices.

Knowledge of computer software proficiency.

Ability to plan organize coordinate work assignments and prepare correspondence reports.

Ability to understand and apply applicable rules regulations policies and procedures.

Ability to communicate effectively and to prepare correspondence and administrative reports.

PREFERRED QUAILIFICATIONS:

Three (3) years of secretarial/administrative support experience.

Proficiency in Microsoft Office.

Ability to collect evaluate and analyze data relating to administrative functions such as accounting personnel purchasing or report writing

Preference will be given to candidates with knowledge of MyFloridaMarketPlace.
