Duties

As an Administrative Operations Assistant within the Geology Energy and Minerals Science Center some of your specific duties will include:

  • Maintains office records; develops a variety of administrative reports related to budget payroll travel or procurement; and allocates equipment and reviews procurement documents.
  • Utilizes an automated financial system to enter review and adjust financial and budgetary data; determine the status of invoices payments and suspense items; reconcile and adjust bankcard statements; and process payments.
  • Provides advice on travel rules regulations and procedures and prepares routine travel reservations authorizations and vouchers using automated travel system.
  • Provides advice and assistance to office employees on time and attendance procedures and regulations and reviews timesheets and payroll reports.
  • Performs administrative functions pertaining to recruitment selection on-boarding appointment expiration promotions awards and training activities.
  • Receives visitors answer and direct phone calls and prepares office correspondence.

Qualifications

For GS-05

Applicants must meet one of the following to qualify for the GS-5 level:

One year of specialized experience in or directly related to this position that equipped the applicant with the knowledge skills and abilities to perform successfully the duties of this position. To be creditable the required specialized experience must have been equivalent to at least the GS-04 level in the Federal service.

Example of GS-4 level work: Performs a full range of assignments consisting of related steps processes or methods; responses differ in nature and sequence; requires knowledge of an organization’s programs and operations rules and processes. Exercises initiative in completing recurring assignments; uses judgment in selecting appropriate guidelines and procedures from among a number of specific references.

**OR a full four years of progressive successfully completed education above the high school level in any field for which high school graduation or the equivalent is a prerequisite may be used to meet the qualification requirements for GS-5. This education must have been obtained in an accredited business secretarial or technical school junior college college or university.

**OR equivalent combinations of successfully completed post-high school education and specialized experience may be used to meet the qualification requirements for GS-5. Only progressive education in excess of the first 60 semester hours or 90 quarter hours (i.e. beyond the first two years) of a course of study is creditable toward meeting the specialized experience requirement.

For GS-06

Applicants must meet the following to qualify for the GS-6 level:

One year of specialized experience in or directly related to this position that equipped the applicant with the knowledge skills and abilities to perform successfully the duties of this position. To be creditable the required specialized experience must have been equivalent to at least the GS-05 level in the Federal service.

Example of GS-5 level work: Performs standard and nonstandard assignments involving different and unrelated processes or methods in varying sequence; work requires extensive knowledge of rules operations or business practices. Follows accepted practices in resolving nonrecurring problems and meeting deadlines; completed products are evaluated for effectiveness in meeting goals; extensive guidelines in the form of instructions manuals and regulations are applied.
