Position Summary Information

Basic Function
Multi-faceted position that monitors and coordinates all supporting functions of the Counseling Center and is also the sole ‘face’ of Student Health Services. Under the direct supervision of the Director of Counseling provides primary support for the Counseling Center and manages the Student Health Service Office under the direction of the Counseling Center Director and Dean of Students.

Duties and Responsibilities

Student Health and Immunizations
  • Serves as first contact and resource person for students and their parents/families making inquiries voicing concerns/problems in regards to student health and/or counseling questions/concerns. Either resolves issues or refers individuals to the appropriate person.
  • Secures reviews tracks student immunization records; Responsible for immunization tracking and compliance for all traditional students and those CE/adult students taking 2+daytime classes. Maintains required students compliance to NC State Immunization Law. Serves as a liaison between students staff/faculty and Registrar in issues of immunization compliance. Reports issues of non-compliance to Registrar/Dean of Students.
  • Responsible for up-to-date knowledge of NC State Immunization Law (and updates to law changes/exceptions) as they take place and pertain to students.
  • Handles student/alumni requests for immunization/health/counseling/medical records.
  • Serves as a resource for students who have questions about Guilford’s requirement for students to have medical insurance.
  • Serves as the primary liaison with Eagle Physicians the college’s medical provider for students; responsible for setting up necessary meetings/discussions at end of each semester/as needed. Works closely with Eagle to track student usage/diagnosis and issues that arise on a daily basis.
  • Provides support for Guilford’s COVID-19 response including committee work immunization and booster clinics and monitoring/supporting positive cases.
  • Responsible for hiring and supervising summer student workers for Student Health.
  • Maintains Guilford’s Student Health webpage and social media sites.
  • Speaks to student/parent/family groups at orientations other events regarding student health and counseling services.
Counseling Center and General Office Support
  • Explains and distributes Counseling Center paperwork to students.
  • Serves as receptionist for Student Health Services and Counseling Center to include greeting visitors answering incoming calls in a professional and courteous manner taking messages and sending/receiving faxes/scanned documents.
  • Assists Director with budget management for Student Health/Counseling/Wellness. Monitors budget and prepares requisitions/expense reports for business office and purchasing.
  • Maintains filing systems for Student Health/Counseling including correspondence confidential and non-confidential files.
  • Prepares counseling charts for psychiatric appointments; maintains psychiatrist schedule and acts as a liaison between psychiatrist/student/counselor.
  • Maintains individual calendars for the Counseling Center staff interns and psychiatrist: schedules appointments meetings and coordinates daily calendars and schedules.
  • Maintains positive working relationships with other departments on campus and handles confidential matters in an appropriate manner
  • Creates and maintains Google Doc to document attendance for SURE sanctioned students; works with Counseling Director Community Directors and other Residence Life Staff on this project.
  • Orders office supplies and maintains office equipment work area and lobby in a neat and organized manner.
  • Organizes and sends out Center survey(ies) to sampling of students seen in Counseling Center
  • Monitors/maintains Counseling Center and Student Health email accounts.
  • Performs other duties as assigned by the Director of Counseling and Dean of Students.

Minimum Qualifications
  • Experience in a college student health/counseling center setting is highly desirable.
  • Excellent organization efficiency judgment initiative integrity maintenance of confidentiality oral and written communication skills editing and proofreading skills accuracy attention to details and interpersonal skills required;
  • Must have the ability to work effectively in a challenging and fast-paced environment; must be able to establish priorities meet deadlines manage multiple projects and assignments enjoy challenges and be willing to contribute to problem-solving tasks;
  • Must be diplomatic and polite possess a broad knowledge of the College’s policies procedures and operations;
  • Must provide quick responsiveness effective communication and helpful assistance to both internal and external constituencies.
  • Software experience should include Microsoft Word/Access Excel Google Suite (Calendar Docs Forms and Sheets) Banner North Carolina Immunization Registry and Windows 2016.
