YOUR OPPORTUNITY

The Humane League is seeking a highly organized and proactive Executive Assistant to support the President and Chief of Staff. The Executive Assistant is an invaluable member of the team keeping the President and Chief of Staff abreast of current issues and streamlining workflow. The Executive Assistant works independently on a variety of projects and tasks displaying a high degree of sensitivity and discretion as well as excellent organizational writing editing and tech skills.

The position offers an exciting opportunity for an enthusiastic confident and proactive individual to work closely with the leadership of a top-rated international farmed animal protection organization. The Executive Assistant reports to the Chief of Staff and works closely with the President.

This is a full-time remote position. This position requires domestic travel this is equivalent to approximately 2 trips per year for retreats with the option to travel more frequently to conferences and other meetings based on business need. We are only able to consider applicants who reside in the United States and possess United States work authorization.

Your responsibilities include but are not limited to:

  • Proactively support the President and Chief of Staff streamlining executive leadership processes and thinking creatively and independently about how best to save or optimize the team’s time. Seek opportunities offer suggestions and provide feedback to ensure the President and Chief of Staff are able to focus on high impact work. Track prioritize and follow up on incoming issues and concerns addressed to the senior leadership team and determine the appropriate course of action referral or response.

  • Manage the President and Chief of Staff’s calendars strategically preventing and resolving conflicts to optimize their time. Coordinate with internal and external stakeholders to schedule meetings and workshops often across many time zones. Keep the President and Chief of Staff well-informed of upcoming commitments and responsibilities to ensure that key deadlines are met.

  • Coordinate org-wide processes with many moving pieces. Proactively communicate with colleagues to ensure that expectations are clear and deadlines are met.

  • Plan domestic and/or international travel for the President and Chief of Staff. Research and book flights accommodations and meeting locations and complete expense reports.

  • Conserve executives’ time by reading researching drafting editing and routing correspondence including presentations proposals reports and emails. Collect synthesize format and proofread information for internal and external documents.

  • Coordinate preparation and logistics for Board meetings as well as other meetings and off-site gatherings led by the President or Chief of Staff. Serve as a liaison to staff and the board communicating effectively with external stakeholders including coalition partners donors and consultants.

  • Provide other administrative support as needed. May assist other Senior Leadership staff with administrative issues and preparation of materials.

The ideal candidate will possess most if not all the following qualities skills and characteristics:

  • Good Judgment: The ability to exercise good judgment and diplomacy in a variety of situations is critical. Able to safeguard confidential information and perform duties with a high level of discretion.

  • Problem-solving: Forward-looking thinker who anticipates needs actively seeks opportunities and proposes solutions with solid decision-making capability. A can-do attitude is a must along with the ability to think steps ahead. Possess the confidence to offer direct feedback and suggestions to the President and Chief of Staff and hold colleagues accountable to ensure work is on track.

  • Communication: Extraordinary written and verbal communication skills. Able to communicate clearly and effectively and to interact with all stakeholders in a positive professional and friendly manner. Must be an excellent writer and proof-reader well-versed and comfortable with drafting and editing professional correspondence.

  • Organization: Exceptional attention to detail highly organized and able to manage multiple simultaneous projects. Utilizes effective time management to plan prioritize and complete work in a fast-paced environment. Able to manage complicated scheduling and other complex processes.

  • Flexibility: Able to prioritize multiple goals simultaneously and adjust to rapidly shifting priorities. High tolerance for ambiguity and complexity and able to adapt to changing business needs while being efficient with limited resources.

  • Independence: Must be self-directed and able to take initiative. Exhibits solid decision-making skills. The ideal individual is a highly resourceful team player with the ability to also be extremely effective independently.

  • Tech-savvy: Demonstrated ability to learn new software quickly and independently. Efficient at online research. Highly proficient in using contemporary office software applications Experience with any of the following is a plus: G Suite (docs sheets drive calendar slides forms) Slack Asana.

Salary range $66467 – $72051 to commensurate with experience. We do not make offers or negotiate outside of the posted salary range.
