The Entry-Level Payroll Coordinator works under the supervision of the Payroll Manager or Payroll Director and assists in the preparation and maintenance of payroll; and other related duties as required. The Payroll Coordinator possesses strong customer service skills and excellent communication skills.

Entry-Level Payroll Coordinator Opportunity:

  • Process Payroll:
    • Process a small full cycle Bi-Weekly Payroll from start to finish.
  • Enter employee’s personal information and payroll changes into payroll database.
    • Review Pre/Post Tax Deductions to ensure Taxable Wages are calculating appropriately.
    • Calculate new hire pay termination pay and any required adjustment to normal pay
    • Run and review payroll balancing reports
    • Process Overpayments and Demand Letters
    • Ensure that computing withholding and deductions are done correctly
    • Manage and Process workflow to ensure all payroll transaction will be processed accurately and timely.
    • Prepare and distribute paper checks or ACH Payments when necessary.
    • Process manual checks such as terminations missed hours deduction refunds or other discrepancies
    • Process ACH rejects Stop Payment and Voids
    • Determine payroll liabilities and funding.
    • Research analyze and resolve payroll related problems or questions timely by collecting and analyzing information
    • Maintain employees’ confidence and protect payroll operations by keeping information confidential.
  • Garnishment Administration:
    • Liaison to 3rd Party for garnishment processing.
    • Garnishment Submission to 3rd Party.
    • Garnishment Refunds Submission to Payroll Coordinator.
    • IRS Locked In Letters Submission to Payroll Coordinator.
    • Garnishment Refund Validation.
    • Respond to inquiries from vendor regarding garnishments and levies.
    • Maintain garnishment documentation according to department standards.
  • Timekeeping:
    • Execute time and attendance processing and load interface files into the payroll.
    • Assist with tracking down missing timesheet hours.
    • Assist employees and supervisors with timesheet entry.
    • Timesheet and paycheck edits post timesheet deadline.
    • Daily Timesheet error alert resolution.
    • Obtain Timecard approvals for hours above the per pay period threshold.
    • Historical Time Off Submission to Payroll Coordinator.
    • Timesheet Entry reminder email.
    • Reset Negative PTO Balances.
    • Record timesheet adjustments post timesheet deadline.
  • Administration:
    • Time and Garnishment Reporting.
    • Provide backup support covering department email box & HD Ticket Coverage Back Up
    • Deliver historical W2 and paychecks to employees.
    • Tax Notice Submission to 3rd Party.
    • Manage payroll files and storage
    • Team Mail Processing.
    • Team PTO Coverage
    • Perform other duties or special projects as required or assigned.

Entry-Level Payroll Coordinator Qualifications and Preferences:

  • Previous experience in a payroll department preferred.
  • Working knowledge of UltiPro is a plus
  • Experience in data collection entry and reporting.
  • Strong math and numerical skills.
  • Ability to handle multiple tasks under tight deadlines
  • Extremely detail-oriented with strong organizational and follow-up skills as well as experienced in handling multiple priorities simultaneously
  • Excellent communication abilities with aptitude in problem-solving.
  • Outstanding time management skills.
  • Proficiency with Microsoft Office applications: Word Excel Outlook
  • Ability to work overtime when needed
