Description:

The Administrative Assistant is responsible for providing high-level administrative support while demonstrating a high degree of professionalism interpersonal skills tact integrity good judgment and discretion around issues of confidentiality. The ideal candidate will be organized agile and able to prioritize tasks and deadlines. This is a remote position but occasional in-person meetings may be required.

This position is full-time but we would consider applicants who can work at least 30 hours per week.

ORGANIZATIONAL SUMMARY

Since its founding in January 2005 Moving Traditions has championed impact-focused youth-serving programs at the intersection of gender wellbeing and Judaism. Our suite of programs includes Moving Traditions B-Mitzvah Family Education Program for preteens and parents; Teen Groups for teens as they self-identify with Rosh Hodesh for girls Shevet for boys Tzelem for LGBTQ+ teens; the Kulam curriculum for Hebrew High School settings; and the Kol Koleinu Teen Feminist Fellowship. We are also launching a racial justice fellowship this fall that aims to make Jewish spaces more anti-racist and activist spaces more welcoming to Jewish and Zionist identities. Finally through CultureShift Moving Traditions trains professionals who work with Jewish teens at camp and elsewhere about how to create healthy culture around gender boundaries and consent and more.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Administrative support for the CEO:

  • Manage the CEO’s calendar coordinate and prepare the CEO for meetings handle logistics and execution of teleconference calls and meetings set up and confirm appointments keep an eye on future weeks to anticipate conflicts and plan in advance.
  • Arrange complex and detailed travel plans itineraries and agendas; and compile documents for travel-related meetings.
  • Provide the CEO with database updates as needed.
  • Edit and format documents and spreadsheets.

Administrative support for Moving Traditions’ Board:

  • Provide operational and technical support to ensure smooth running of Board meetings including advance distribution of materials.
  • Serve as the CEO’s administrative liaison to Board of Directors.
  • Schedule Board and Board committee meetings and set up zooms and record related notes in Salesforce.
  • Maintain general Board member information in Salesforce i.e. contact information and committee lists.
  • Coordinate food and other venue services.
  • Assist Board members as needed.

Administrative and project support for the Program Team:

  • Support specific project and event teams when necessary; tasks may include project management support event logistics/coordination.
  • Data entry/clean-up as needed.

General administrative tasks for the organization:

  • Help coworkers schedule meetings that include the CEO and/or other staff.
  • Support coworkers by providing tech support and formatting documents.
  • Assist in additional responsibilities as needed.

  • 1-3 years of administrative experience or equivalent.
  • Ability to balance a variety of needs and projects: Uses a system for maintaining tasks and project details that prevents tasks from being overlooked. Able to balance competing demands and prioritize without sacrificing quality.
  • Clear communicator both verbal and written: Understands coworkers’ project-related needs to ensure that the tasks needed are clearly expressed and outlined. Asks clarifying questions to best maintain the balance of tasks at hand. Knows when capacity has been reached to ensure that quality of work remains high.
  • Attention to detail: Has an eye for details that allows for a closer perspective on projects and calendars. Uses this attention to detail to be a forward thinker. Acknowledges mistakes and turns them into learning opportunities.

ABOUT COMPENSATION AND BENEFITS

Compensation at Moving Traditions is determined based on the salary band for the role and adjusted based on cost of living where the final candidate resides. For this position the salary range based on 40 hours per week is between $41K – $45K. Moving Traditions provides a generous benefits package including paid time off for vacation and sick leave many Jewish holidays and major national holidays. We also provide 100% employer paid medical dental and vision benefits as well as STD/Life insurance and FSA participation. Additionally after a year of employment employees are eligible for paid parental leave and a 401K employer contribution.

The process for the hired applicant will include the following steps:

  • Applicants moved forward will have a phone screening with a member of Moving Traditions HR team.
  • Applicants that move forward from the phone screening will have a first round interview with the Hiring Manager.
  • The final round interview will be held with additional team members including the CEO.
  • Three professional references will be requested at the end of the interview process.
